Don't worry about writing in Japanese. There must be someone associated with a
heya who could read basic English. I don't think they receive too many letters
written in English. And if so, they will try everything to read those letters
written in English, particularly if it is about getting more funds for heya or
rikishi.
The only thing you need to mentione the first time is "please send me the
information for becoming the member of the koen-kai your heya has" or similarly.
Even if you write a letter to them in English, all they could send you is the
application form written in Japanese. Once you receive the form, you need to
read the instruction in Japanese and fill them in correctly. If your name does
not have any Japanese, and if you want to have information or news reaches you
correctly, you don't want to write your address or name in Japanese. So, don't
show off your "excellent" Japanese when you fill the form.
I need to add one more thing to my previous post abou this subject, which is
that some koen-kai has a limited membership capacity and if it is full, you need
to wait in the waiting list. If you are only interested in receiving the
newsletter, you may be able to subscribe the newsletter without becoming a
member of koen-kai.
